What good bookkeeping actually gives you

Bookkeeping is not filing. It is the record that everything else is built on, and when it is wrong every figure downstream is wrong with it — the VAT return, the year-end accounts, the tax bill, and any decision you make on the strength of them. Most of the expensive problems we are called in to fix started as a bookkeeping problem that nobody noticed for eleven months.

The practical benefit of keeping it current is that you know where you are. A set of accounts prepared nine months after the year end tells you about a business that no longer exists. Bookkeeping kept up weekly tells you what you earned last month, what you owe, and whether the VAT money is genuinely there. That is the difference between managing a business and reacting to it.

We work from whatever you have. Bank feeds connect directly so transactions arrive automatically; receipts can be photographed on a phone and reach us immediately; and if you would rather hand over a folder of paper every month, that is perfectly workable too. The point is that the records get done, not that you adopt a particular habit.

VAT is where careful bookkeeping pays for itself fastest. The liability of what you sell is not always obvious — food and drink in particular, but also mixed supplies, deposits, disbursements and anything sold to or bought from overseas. A misclassification does not happen once, it repeats on every transaction until someone checks, and HMRC can assess four years back. We check the classifications rather than assuming the till or the software has them right.

Reconciliation is the part most commonly skipped and the part that catches errors. Bank, card, supplier statements and VAT control all agreeing to each other is what tells you the records are complete. Without it, a duplicated purchase invoice or a missing month of card takings can sit undetected until the year end, by which point reconstructing it is expensive.

Making Tax Digital has made this more pressing rather than less. Quarterly updates for sole traders and landlords above the threshold, and digital record-keeping requirements for VAT-registered businesses, both assume records are being kept as you go. A shoebox in December no longer satisfies the obligation, whatever else it fails to satisfy.

Bookkeeping is included in the fixed monthly fee alongside everything else, so there is no separate hourly charge and no incentive for us to spend longer on it. Software licences are included too, which is worth checking against what you are paying now.
